Accounts Coordinator

Overview

The Accounts Coordinator is responsible for processing orders and communicating accurately and kindly with our retailers and sales reps, all while being an integral part of a department that fuels the company. This position reports directly to the Accounts Manager as part of the Sales team.
Responsibilities
  • Manage dedicated portion of retailer relationships on a daily basis
  • Process and enter wholesale orders into SAP Business One
  • Build a relationship and rapport with our retailers and reps that accurately reflects the Rifle Paper Co. brand
  • Monitor and manage wholesale email along with other Accounts Coordinators
  • Adjust orders accordingly for out-of-stock items, preorders, and any time-sensitive requests; communicate order changes as needed to other departments
  • Manage order inquiries, questions, and other customer service issues relating to wholesale by addressing terms/policies, ordering minimums, styles numbers, and informing retailers about the line
  • Process and authorize payments for orders by calling and/or emailing retailers for credit card information
  • Complete credit references depending on requested payment terms
  • Work directly with our reps and rep groups answering questions regarding orders submitted, recommend certain products or bestsellers as needed, and communicate updates to product availability and ship times
  • Batch email retailers tracking information and invoices for shipments sent previous day
  • Manage communications to prospective retailers to secure new business
  • Forecast for upcoming weeks and busy buying seasons by contributing to the organization and planning within the wholesale channel
  • Attend seasonal trade shows in New York and other possible locations; meet with retailers, discuss product line, and take orders during the show
Skills & Requirements
  • Bachelor degree preferred but not necessarily required
  • Experience in account setting a plus
  • Experience working in SAP or different ERP software a plus
  • Must be organized and proactive
  • Extremely detail oriented but also able to multitask under pressure
  • Maintain clean and organized inboxes across multiple email accounts
  • Communicate with the correct tone and attitude Rifle Paper Co. is known for
  • Willing and able to work well and efficiently in a continually fast-paced environment
  • Experience with Microsoft Word and Excel needed
  • Able to work comfortably and navigate both a Mac and PC environment on one computer
