Executive Assistant to CCO & CEO

Overview

The Executive Assistant role is responsible for directly supporting and assisting the CCO and CEO. This role assists with both personal and professional tasks, which includes scheduling, errands, organization of calendars, and triage of executive needs and requests.
Responsibilities
  • Maintain executive calendar for CCO & CEO
  • Manage and organize both personal and professional calendars and day-to-day schedules
  • Run personal errands regularly
  • Schedule personal appointments as needed
  • Maintain executive schedules, keeping leadership informed of changes when they occur
  • Book travel, create itineraries, and make revisions as needed
  • Document and submit company expenses
  • Arrange meeting materials and maintain action items list to ensure follow-up
  • Generate meeting notes, reports, correspondence, and other materials with speed and accuracy
  • Research and assist in special projects
  • Interface with senior-level personnel and third-party vendors
  • Handle confidential and sensitive information with discretion
  • Misc. clerical functions as assigned
Skills & Requirements
  • 1 - 2 years relevant work experience preferred
  • Experience with booking and maintaining travel schedules
  • Strong initiative and excellent follow through
  • Exceptional verbal and written communication skills
  • Superior organizational skills, accuracy, and attention to detail
  • Proactive problem solver
  • Ability to adapt to many scenarios and prioritize accordingly
  • High level of resourcefulness and a strong willingness to learn
  • Proficient in Microsoft Office (Word, Excel, Outlook), Gmail, Google Docs, and demonstrated ability to learn new technologies
  • Ability to work independently, as well as part of a team
